As an international Business-to-Business Communication and Exhibition organization, data, training and information are at the heart of what AHWS does. As part of the use of AHWS Solution groups and services, when you browse our websites and contact the business, data and information is collected. This privacy policy (the “Privacy Policy”) sets out AHWS’s approach to protecting and maintaining the privacy of such personal information and explains what data is collected, how it is used, the legal basis for its use, and the rights individuals have about this data.

The Exhibition Division’s central data team, operating through AHWS (Portugal), controls all decisions regarding the processing of personal information by the Exhibition Division. Legal Processing In Europe
AHWS collects and uses personal information. The legal bases we use for this activity in Europe, as required by European data protection laws, are:
- When it is necessary to enter into or perform a contract
- When we have a legitimate interest in doing so, as long as your rights do not override those interests
- When you consented to its use
- When it is in your vital interests to share your personal details, for example with emergency services

Sales, Administration and Product Consultations
As part of a purchase, product inquiry, information request and for account administration, we collect information such as name, country, job title, company information or academic affiliation, address, email address and telephone number.
If you have made an inquiry about us, products or services, whether online or over the telephone, we will use personal information to respond to the inquiry or take other steps at your request, before entering into a contract. For example, we collect the email addresses and additional contact details of those who email us to request information. When a sales representative speaks on the phone, calls are recorded for training and monitoring purposes only.
If you have registered for or purchased a product or service, including on a trial basis, personal information will be used to provide that product or service, communicate about it and handle payments as necessary for the performance of the contract you have entered into.
For purchases, payment information including credit/debit card number/bank details and billing addresses are also collected. When payment card processors are used to facilitate payment card transactions on our website, the data will be collected and used in accordance with the privacy policy of those data processors.
If personal information is relevant to certain products and is freely available through public sources, such as on a website related to your work or profession, we may use this personal information to provide customers with our products as part of our legitimate interests as an organization commercial.
Event and exhibition management
If you have agreed to participate in one of our events as a speaker, sponsor, exhibitor or participant, personal information is used in connection with the running of the event, to handle payments or for other purposes as necessary for the performance of the contract entered into. We will also use personal information to maintain our databases, evaluate your qualities as a speaker or sponsor/exhibitor, promote events and encourage further engagement at our events, as part of the legitimate interests we have as a commercial organisation.
Additionally, we sometimes take photos and videos at our events, which may feature attendees, speakers, sponsors or exhibitors. When these photos and videos are taken, where you may appear as an attendee, speaker, sponsor or exhibitor, we may use these photos and videos for promotional purposes.
Marketing
We will use personal information to send you newsletters, offers or other marketing emails to keep you up to date with news, events and products that may be of interest to you. Depending on the nature of your interaction with us and the laws of the country where you live, you may have given your active consent to this by opting in, or we may be entitled to rely on your implied consent or our legitimate interests. The opportunity to opt-out of receiving future marketing emails will always be provided, and information on how to do so will be given when your personal information is collected and in each marketing email sent. Customer and Prospect Management (Including Analytics and Product Management)
We may use personal information, combined with publicly available data and your demographic data, to deliver products and services, choose relevant offers that may be of interest to you, to improve our existing products and services, and to develop new products and services, such as part of our legitimate interests as a business organisation. Your rights
AWHS operates in countries with data protection laws that may provide individuals with the right to access and control their information. We will always allow you to exercise the rights provided for by data protection laws.
